How to reduce the size of a PDF and still know the impact.
PDFs that are too large may be rejected by upload forms, difficult to send over a mobile connection, or slow to open. The best way depends on the cause of the file size and how important visual quality, searchable text, and interactive elements are in the document.

Why can PDF sizes be large?
PDF is not just text. The size is often affected by high-resolution photos or scans, repeated saved images, embedded fonts, full-color pages, and complex design objects. In contrast, simple PDFs containing only text are usually already small; performing visual compression on such a document can make it larger or reduce quality without much savings.
If the document comes from a scanner or phone camera, drawing the pages can be the hardest part. If the document was created from a word processing or design application, re-exporting the source file often provides better control than rasterizing the PDF after it is finished.
Choose the appropriate method
1. Re-export from source file
If the document comes from Word, a presentation application, a design editor, or a scanning device, start from that file. Choose presets for screen or share when available, avoid including original images that are much larger than the display needs, and don't use high-resolution print presets unless they need to be printed. Save a new copy to keep the print quality version.
2. Compress existing PDF
Compress tools can optimize image objects or recreate pages with different resolutions and image qualities. Because of this, text, links, forms, digital signatures, and accessibility structures may not survive as their original elements. The 200 KB, 500 KB, or 1 MB presets are target compression settings, not guaranteed final sizes. PDFs with many pages or complex images can still be larger than these numbers; pursuing very small sizes can also make text and stamps difficult to read. Check the output measure displayed and do not rely on results if the tool does not state that the measure was achieved.
3. Reduce pages only if the content is not necessary
Deleting pages or splitting a document can make the output file smaller because there is less content, but it is not compression. Combining files usually increases the number of pages and does not automatically reduce the total size.
How to shrink PDF on mobile
- Open the PDF tools site in your phone's browser and select the compress tool.
- Select the PDF from the Files app or download folder.
- Select a suitable compression level. Use the lighter mode when readability is more important than size.
- Wait for processing to complete. Large documents or many pages can require more memory and time on the phone.
- Open the download, zoom in a few pages, then make sure the file is below the required limit.
If your browser tab closes or your phone runs out of memory, try a file with fewer pages or process it from your computer. Do not delete the original file before ensuring the results can be opened.
How to prepare PDF for 200 KB, 500 KB, or 1 MB limit?
Start by reading the limits that the portal displays for that document type. Requirements may vary by agency, form, attachment type, and registration period. Avoid assuming one number applies to all KTPs, diplomas, CVs or CPNS documents. Use official portal sources that will accept files, not old articles or numbers floating around in search results.
Once you know the limits, make a copy of the result with the closest preset, then check the actual size. If it's still too large, go back to the source file and reduce the image size or export with lighter settings. If using visual compression mode, review whether small text, ID numbers, barcodes, signatures, and stamps are still legible. Don't continue to reduce quality if documents become difficult to verify.
Does compression reduce quality?
It depends on the method. Compression without loss of information can reduce some overhead but does not always make a big difference. Image compression can reduce photo detail; rendering an entire page to an image also changes the nature of the document, even if they appear similar at first glance. No single setting guarantees the smallest size while preserving all details, text, and functionality.
For written documents, test search or copy text after processing. For identity documents, certificates, or official forms, examine every detail at sufficient magnification. If quality or integrity is important and the results appear to change, use the original files or choose another method.
Privacy when using online PDF tools
Check whether the service uploads files to the server or processes them in the browser. Local processing means files are selected and calculated on the device, but the site still sends code and web assets to the browser, and the hosting infrastructure can receive technical data about the visit. For files that are highly confidential or subject to organizational policies, follow those policies and consider organization-approved software. Don't enter document passwords on sites that don't require them or don't explain how passwords are handled.
Check before uploading
- The resulting file size is completely below the limit displayed by the portal.
- All required pages are still present and in the correct order.
- Small text, numbers, photos, signatures, stamps and barcodes can be read.
- The page orientation is correct and there are no accidental blank pages.
- Documents can be opened in common PDF readers and file names are not confusing.
- You still keep the full quality original documents.
General questions
Can each PDF be reduced to 200 KB?
No. Results depend on the number of pages, images, and contents of the PDF. The target in the interface is the setup guide; the tool cannot guarantee every file reaches that size with acceptable quality.
Is the outcome measure guaranteed to be smaller?
No. On documents that are lightweight to begin with, the re-rendered version can be as large or larger. Compare the before and after measurements, then use the results only if the size and appearance match.
Is PDF text still searchable after Lembar PDF compression?
The currently available compression renders the page into an image. Text in the results may not be able to be selected, searched, or copied as in the source PDF.
Are the SSCASN file size requirements always the same?
Don't assume it's fixed. Follow the size and file type limits that appear on the latest official announcements or forms for the selection and type of document you are applying for.
What if compression makes the writing blurry?
Don't upload unreadable versions. Try a lighter compression level or re-export the source file with optimized images. Keep the original document as a backup.
